We are finding that sustainable practices in events are fast becoming embedded as the norm and indeed, are often mandated by the client. This is brilliant, but instead of seeing this as a tick-box exercise of compliance, there is an exciting opportunity and responsibility for us, as event planners to recognise our influence, not just during the event itself but as a legacy with delegates and other stakeholders. We can lead the way with practices and education to create a wider ripple effect of positive environmental change.

The Influence of Event Planners

Event planners are in a prime position to implement sustainable practices because we oversee every element of an event. This includes decisions about venue selection, vendor partnerships, transportation, and materials. By opting for venues that utilise renewable energy, promoting carpooling and public transit, sourcing local food, and eliminating single-use plastics, an event’s environmental footprint can be reduced significantly.

Choosing to work with vendors who align with sustainable practices, creates a ripple effect across the industry. By partnering with eco-conscious suppliers, we are not only supporting other green businesses but also setting a standard for clients and participants. When vendors and clients see the benefits of sustainability in action, they are more likely to adopt these practices as well.

Educating and Inspiring Attendees

Sustainable event planning doesn’t stop at logistics; it also involves education. Event planners have a platform to educate attendees and encourage them to make eco-conscious choices. Subtly Informing guests about why they’re using compostable utensils, digital tickets, or reusable water bottles can inspire individuals to think about their own environmental impact and can enhance the overall experience rather than detract from it. Sustainable choices not only reduce waste but also increase awareness, motivating attendees to adopt similar practices outside of the event space.

For example, organizers can promote digital solutions over paper by offering apps for schedules and maps, reducing the need for printed materials. Reusable or eco-friendly swag options, like cloth bags or bamboo utensils, can reinforce this message while serving as a reminder of the value of sustainability.

Building a Positive Brand Image

Beyond environmental impact, leading in sustainability is also a smart business decision. Today’s attendees increasingly expect events to align with green values. Sustainability has become a crucial element in brand reputation; attendees are more likely to support events and companies that share their commitment to the environment. Event planners who champion sustainability not only meet this expectation but also build lasting, positive connections with their audiences.

A Responsibility and an Opportunity

As we face the realities of climate change, event planners have a responsibility to do more than simply organise successful events. They have the power to set new standards in the industry, demonstrating that environmental responsibility can—and should—be a priority in every industry. By leading the way in sustainable practices, we as event planners can help transform the events industry, making each gathering a force for good and proving that a successful event is one that respects and protects our planet.
